Leave of Absence

After matriculation to Rush University a student may not arbitrarily cease registration without notice. All students are required to maintain continuous enrollment or risk administrative withdrawal after one quarter due to unexplained non-registration.

A leave of absence (LOA) is defined a temporary suspension of studies for which an approved time limit has been set and a specific date of return established. Leaves of absence are approved and granted at the discretion of the student's college. The procedure for petitioning for a leave of absence requires the student to complete the Petition for Leave of Absence form and obtain all appropriate signatures. The completion of the Petition for Leave of Absence makes the student eligible for a leave that is granted by the college. It is the student's responsibility to communicate directly with his/her college regarding the disposition of the request for the leave. Typically, a petition for a leave of absence will only be accepted through the first week of the quarter for which the leave is desired. The clearance procedure assures that students do not obligate themselves for additional tuition, financial aid, and insurance. Insurance may be continued under certain conditions. Failure to complete the Petition for Leave of Absence form will make the student ineligible for any refunds and obligate him/her for the full quarter's insurance charges. The date that the leave of absence form is submitted to the Office of the Registrar is the date that will be used in processing the form unless otherwise noted in writing by the program director. Students who submits a leave of absence form after the fifth week of the quarter will receive grades in the courses for which he/she is registered. The student is subject to academic progressions review based upon the assigned grades. Any decision reached by the student's academic program/college supersedes the submitted leave of absence form.

Returning from a Leave of Absence
A student must satisfy the conditions of the leave before re-entering and must comply with all policies, requirements and course sequences in effect at the time of re-entry. Registration for the quarter of return is solely the responsibility of the student. Students are mailed information from the Office of the Registrar regarding how to return from a leave of absence including the dates for registration for the student's quarter of return and the student's advisor's or program director's phone number. It is the student's responsibility to consult with his/her advisor or program director about his/her course schedule prior to returning. The student should notify the advisor or program director of his/her intent to return no later than 60 days (90 days for Rush Medical College students) prior to re-enrollment. Students whose return date will occur sooner than 60 (or 90) days should consult with their program about what will be required of them to re-engage in their studies before beginning the leave of absence. Should any modification to this re-engagement plan become necessary after the student has begun his/her leave of absence, the program will communicate with the student about how the re-engagement plan will be altered. Failure to register during the published registration period will result in the appropriate late registration fee(s) being applied to the student's financial account.

Extending a Leave of Absence
A request to extend a leave of absence requires that a new clearance form be submitted but only the signature of the student's program director (or advisor's and associate dean's signatures for College of Nursing students) is necessary. Once the required signature(s) to extend a leave of absence has/have been obtained, the form should be submitted to the Office of the Registrar no later than the first Friday of the quarter for which the extension is being requested.

Rush Medical College: Leave of Absence
The Associate Dean for Medical Student Programs will decide upon each request for leave of absence and will determine the duration of the leave and the conditions, if any, for resuming active student status. A student may not go on a leave of absence without first stating in writing to the associate dean his/her intent to return to the college to complete the requirements for the MD degree. In addition to this letter, students are required to clear the University by processing a Leave of Absence form available from the Office of the Registrar. This clearance procedure ensures the student that he/she will be informed of any issues affecting student loans or financial aid, and that timely notification of his/her change of status is sent to the AMA and AAMC. The associate dean will consult with COSEP insofar as possible before approving a leave of absence for a student with academic deficiencies.

Leave of Absence: College of Nursing
A student who must interrupt his/her studies for reasons of sustained ill health or compelling personal situations may apply for a leave of absence for a stated period of time, not to exceed four consecutive quarters. A College of Nursing Petition for Leave of Absence form must be completed. Leaves of absence are approved by the advisor and the Associate Dean for Academic Affairs or her designate. A student is allowed a maximum of eight quarters of leave during the completion of any one degree option.

Leave of Absence: College of Health Sciences
A student who must interrupt his/her studies for reasons of sustained ill health or compelling personal situations may apply for a leave of absence for a stated period of time, not to exceed four quarters. A Petition for Leave of Absence form must be submitted to the department chairperson or his/her designate. If approved by the department chairperson and dean, the student must satisfy the conditions of the leave before re-entering and must comply with all policies, requirements, and course sequences in effect at the time of re-entry. The student will pay tuition and fees at the rate in effect at the time of re-enrollment.

Leave of Absence: Vascular Ultrasound and Technology
A student may request a leave of absence by following the College of Health Science Leave of Absence policy and procedure.

LOA requested during first three quarters
The first three quarters of the program contain courses that are only offered once per year and must be taken in sequence. If a leave of absence is approved for a student during the first three quarters of the program, he/she must wait until the next year to make up that quarter and the remainder of the courses. The leave cannot exceed one year.

LOA requested during last four quarters
If a leave of absence is approved during the last four quarters of the program, the student may make up the quarter(s) after the leave period ends, assuming that there is a clinical site available. If a clinical site is not immediately available, one will be assigned as soon as one becomes available.

The Graduate College: Leave of Absence
If a student finds it necessary to interrupt his/her studies for a period of time, a Petition for Leave of Absence form must be completed by obtaining all authorized signatures. The student is also required to submit a written statement to the division director specifying the circumstances. All decisions regarding the conditions of the leave and of re-entry into the program will be communicated to the student by the division. No leave of absence may exceed one calendar year.
